Prepare for scheduled downtime

In this article, we explain how to prepare for planned system downtime by downloading key reports so you can continue operating.

When scheduled downtime is planned, it’s important to have access to key scheduling, staffing, and visit information offline. Downloading the recommended reports in advance ensures you still have the details needed to manage visits, staffing, and requirements during the outage.

We recommend downloading the following four reports:

  • Client visit sheet.

  • Outstanding requirements.

  • Staff worksheet.

  • Staff availability.

Each section below explains how to generate these reports.


Client visit sheet

To generate the client visit sheet report, follow these steps:

  1. Click Client, then click on the client.

  2. Click Reports.

  3. From the client selection list, choose one of the following:

    • Current: Runs the report for the currently selected client.

    • List: Runs the report for clients returned from a filtered list (for example, advanced find or saved search).

    • All: Runs the report for all clients.

  4. Click Visit sheet, then enter the From and To dates.

  5. Click Generate report and select your print option.

  6. Click Print.


Outstanding requirements

This report highlights requirements that still need staff assigning.

To generate the outstanding requirements report, follow these steps:

  1. In the left-hand menu, click Uncovered requirements.

  2. Set your search criteria.

  3. Click Generate report.

  4. Choose your print option, then click Print.


Staff worksheet

This report is generated from the Staff area and shows each staff member’s client bookings, booking times, ordered products, and a signature section for clients.

To generate the staff worksheet report, follow these steps:

  1. From the staff selection list, choose one of the following:

    • Current: Runs the report for the selected staff member.

    • List: Runs the report for staff from a filtered list.

    • All: Runs the report for all staff.

  2. Click Worksheet, then enter the From and To dates.

  3. Click Generate report and select your print option.

  4. Click Print.


Staff availability

This report shows staff availability by day, along with staff names, contact numbers, and bookings.

To generate the staff availability report, follow these steps:

📌 Notes:

  • Bookings only appear if they start within the configured availability window.

  • Unless emailed, the report opens in a new browser tab.

  1. From the staff selection list, choose one of the following:

    • Current: Runs the report for the selected staff member.

    • List: Runs the report for staff from a filtered list.

    • All: Runs the report for all staff.

  2. Click Availability, then enter the From and To dates.

  3. Click Generate report and select your print option.

  4. Click Print.
