Use preferred staff on a service plan to suggest who should cover a requirement before it’s booked on the live roster. This helps you guide bookings without locking staff in too early and allows the system to check availability when you apply the plan.
How preferred staff work on a service plan
When you assign staff to a service plan requirement, you’re setting preferred staff only. The system doesn't book them on the live roster at this stage.
When you apply the service plan to the roster, the system books preferred staff only if they match the booking search rules and are available.
Set preferred staff
Open the Service Plan window.
Choose a requirement.
Click Book to view available staff.
Choose one or more staff members.
Click Select.
The staff are now set as preferred for this requirement. They aren't booked on the live roster yet.
Change the preferred staff order
You can control which staff the system tries first.
Follow these steps:
Click Re-order.
Move staff into the order you want.
Apply the service plan to the roster
⚠️ Important: Once you apply a service plan, any later changes to the plan don't update the live roster. After applying, you must edit bookings directly on the live roster.
To apply the service plan to the roster, follow these steps:
Select one or more requirements.
Click Apply to roster.
As a result:
Applied bookings show green in the Service Plan screen.
The system now books staff to live roster requirements they’re available to cover.
The booking uses the staff member’s default travel mode.
Lock service plan editing
You can stop further edits after a plan is applied.
Follow these steps:
Click Setup, then click System.
Click Client/Staff roster.
Select the Lock service plan in use checkbox.
Click Save changes.
View booking results
📌 Note: Not all requirements in the date range may be filled by the selected staff, even if they’re preferred.
To view booking results:
Click Results to see the percentage of service plan requirements booked to staff.
These percentages update as bookings change.
Print uncovered requirements
You can generate a report to show requirements the selected staff couldn’t cover.
To generate the report and print uncovered requirements:
Click Print uncovered requirements to generate a report.
