Payroll and invoice generation error

In this article, we explain how to resolve payroll and invoice generation errors.

Payroll or invoice generation issues usually occur when the rate sheet, contract details, or product configuration don’t align with the timesheet information.

📌 Note: Visits won't generate if the client order is inactive.

Locate the charge rate sheet

To locate the charge rate sheet, follow these steps:

  1. Note the client name, client order reference, date, and times shown in the error.

  2. Identify the day of the week for the timesheet.

  3. Click Clients, then click on the relevant client.

  4. Click Order, then check the client order dates.

  5. Click Rate sheet, then confirm the charge rate sheet linked to the client order.


Locate the pay rate sheet

To locate the pay rate sheet, follow these steps:

  1. Note the staff name, staff contract reference, date, times, and product listed in the error.

  2. Identify the day of the week for the timesheet.

  3. Click Staff, then click on the staff member.

  4. Click Timesheet, then check which staff contract was used.

  5. Click Contracts, then verify the contract dates.

  6. Click Rate sheet, then confirm the pay rate sheet in use.


Amend the pay and charge rate sheets

To amend the pay and charge rate sheets, follow these steps:

  1. Click Setup, then click Rate sheets.

  2. Find the relevant rate sheet.

  3. Make sure the From and To dates include the timesheet date.

  4. Check that the product is included on the rate sheet.

  5. Confirm the day and time span match the product’s expected rate.

  6. Click Save changes.

Rate bandings don’t work across different time spans on rate sheets.

📌 Note: This limitation is also noted on elearning.mywebroster.com, which states: 'Rate banding do not work over different time spans in rate sheets'.

To work around this, either:

  • Adjust the time bands so they don’t cross spans.

  • Manually create a timesheet for the remaining portion. For example, last 45 minutes.
