Set up a cancellation policy

In this article, we explain how to set up a cancellation policy, apply it to a rate sheet, and cancel a booking.

A cancellation policy lets you control how much you charge and pay when bookings are cancelled. You can set time bands with different percentages and apply the policy to rate sheets.

Create a cancellation policy

To create a cancellation policy, follow these steps:

  1. Click Setup.

  2. Click Cancellation policies from the drop‑down.

  3. Click New policy.

  4. Enter a name in Reference.

  5. Select the Verify timesheets checkbox for invoice and payroll if you need it.

  6. Click Add.

  7. Set the Up to time you want to charge from (this is the time before the booking).

  8. Enter the charge and pay percentages.

  9. Add more time bands and percentages as needed.

  10. Click Save Changes.


Apply a cancellation policy to a rate sheet

To apply a cancellation policy to a rate sheet, follow these steps:

  1. Click Setup.

  2. Click Rate sheets from the drop‑down.

  3. Click on the rate sheet you want.

  4. Choose your cancellation policy from the Cancellation policy drop‑down options.

  5. Click Save Changes.


Cancel a booking

⚠️ Important: The charge and pay amounts come from the rate sheet at the time the cancellation is made. Cancellations can only be created for future bookings.

To cancel a booking, follow these steps:

  1. Click Client.

  2. Search for and click on the client.

  3. Click Roster.

  4. Find and highlight the requirement.

  5. Click Cancel.

  6. Select This week only if it’s not already selected.

  7. Choose a Reason for cancellation.

  8. Click Get cancellations.

  9. Select Yes to cancel the whole requirement (may already be selected).

  10. Choose the staff to remove.

  11. Override charge or pay if needed.

  12. Click Save Changes.
