Booked vs rostered hours on a client roster

In this article, we explain how booked hours and rostered hours work on a client roster and why these totals can look different.

Booked and rostered hours can look different because:

  • Booked counts staff time.

  • Rostered counts call time.

This difference helps you see both staffing coverage and call length at the same time.

Knowing what each value means helps you check staffing coverage, spot gaps, and see what’s still left to fill. This is useful when hours don’t match, when care isn’t fully booked, or when you need to explain why totals on the roster aren’t the same.

Roster total

What it means

Example

To deliver

Shows the total care time needed, based on how many staff the call requires.

A call runs from 9am to 10am and needs 2 staff. The system shows 2 hours to deliver.

Booked

Shows how much of the required care time you have already assigned to staff.

The same call needs 2 staff, but you book 1 staff member. The system shows 1 booked hour.

To book

Shows how much care time still needs staff booking.

A call needs 4 staff, but you book 1 staff member. The system shows 3 hours to book.

Rostered

Shows the actual clock time of the call, no matter how many staff it needs.

A call runs from 9am to 10am. The system shows 1 rostered hour, even if it needs multiple staff.
