Set invoice generation type

Steps to set how and when invoices are generated for a customer, including whether they are grouped or individual.

Invoice generation settings control how and when invoices are created for a customer. You can choose where invoices are generated from and whether they are created as grouped or individual invoices.

Set invoice generation from

This setting defines how invoices are created for the customer.

To set this, follow these steps:

  1. Click Customers.

  2. Click on the relevant customer record.

  3. Click Details, then click Finance.

  4. Under Generate invoice from, select the preferred option.

  5. Click Save Changes.


Set invoice type to grouped or individual

This setting controls whether invoices are created as one combined invoice or as separate invoices. Invoice grouping is typically determined by the funder rather than the customer.

⚠️Important: Any changes to grouping settings require you to regenerate invoices to ensure they are applied correctly.

To set the invoice type, follow these steps:

  1. Click Customer/Funder.

  2. Click on the relevant customer record.

  3. Click Details, then click Finance.

  4. Under Generate invoice as, choose Individual or Grouped.

    📌 Note: Grouped invoices combine charges, while individual invoices create separate invoices based on the selected rules.

  5. Click Save Changes.


Troubleshoot invoice grouping issues

If invoices are grouping unexpectedly, the sections below explain the common causes and how to resolve them.

Common causes of invoice grouping issues

The following can cause invoices to group unexpectedly:

  • Zero-rate services hidden on invoices: Some services may have a rate of 0 and be configured to Hide if 0 on the invoice. This prevents the service from appearing as a separate line item, which can cause invoices to group unexpectedly.

Fix zero-rate service issues

If a service is hidden due to a zero rate, you can resolve this by either adding a rate or allowing zero-value items to appear on invoices.

Option A: Add a rate to the service

  1. Click Settings, then click Finance.

  2. Click Invoice, then click Rate Sheets.

  3. Open the relevant rate sheet.

  4. Go to the Revision section.

  5. Add a rate for the service that needs to appear.

Option B: Show zero-value items on invoices

  1. Click Settings, then click Clients.

  2. Click Client, then click Service.

  3. Click Types, then select the relevant service.

  4. Under the On Invoice section, clear the Hide if 0 option.

📌Note: After applying either option, regenerate the invoices to ensure the changes take effect.

Adjust invoice grouping settings

If invoice grouping is affecting contact options for emailing invoices, follow these steps:

  1. Verify the grouping settings under the funder configuration.

  2. If necessary, change the grouping to Group by Customer or another preferred option.

  3. Regenerate the invoices to apply the new grouping and update contact options.
