Create or end a staff contract

In this article, we explain how to create a new staff contract, configure contract settings and safely end an existing contract.

Staff contracts decide how bookings, timesheets and payroll are handled for each staff member. When you create or end a contract, it's important to make sure all bookings and timesheets are linked to the right contract so nothing goes missing or gets deleted by the system.

Create a staff contract

To create a staff contract, follow these steps:

  1. Click Contracts.

  2. Click New Contract at the bottom of the page.

  3. Enter the Contract Reference.

  4. Enter dates in the Date From and Date To fields.

  5. Click Change next to Timesheets.

  6. Choose the appropriate rate sheet from the drop-down options.

  7. Select the appropriate products.

  8. Click OK.

  9. Click Save Changes.

  10. Click Timesheet.

  11. Select how payroll should be generated if it's not the system default.

  12. Click Save Changes.

📌 Notes:

  • The timesheet tab lets you choose how payroll is created from timesheets.

  • The default option is standard.

  • If you're adding a new contract to replace an old one, make sure all bookings from the new contract's start date are moved to it.

  • Any timesheets made before the new contract start date, that you want on the new contract, must be updated manually.


End a staff contract

To end a staff contract, follow these steps:

  1. Click Staff.

  2. Click on the staff member.

  3. Click Contracts.

  4. Click on the contract from the drop‑down options.

  5. Click the calendar icon next to the Date To field.

  6. Choose the new end date.

  7. Click Save Changes.

📌 Notes:

  • If the staff member has more than one contract, each one must be ended before the staff member becomes inactive.

  • Bookings already on the roster stay there until the system clean up at 5am, when any booking that's not linked to an active contract gets deleted.

  • If you need bookings moved on the same day you end the contract, you need to delete or reassign them on the staff roster before 5am.
