Create, update or end a client order

In this article, we explain how to create a new client order, replace the order linked to an existing requirement and safely end an order without affecting live roster activity.

Managing client orders is important for keeping schedules accurate, assigning requirements correctly and ensuring funding and rate sheets are applied as expected.

Create a client order

To create a client order, follow these steps

  1. Click Client.

  2. Click on the client that needs a new order.

  3. Click Order subtab.

  4. Click New Order.

  5. Fill out the Our Ref field.

  6. Fill out the Funder field.

  7. Change the Status to Active.

    šŸ“Œ Note: The client name shows in grey until the order’s start date is reached whilst the status is set to active.

  8. Set the Start and End Dates.

  9. Select the correct rate sheet.

  10. Click Save Changes.


Replace a requirement’s order

To replace a requirement's order, follow these steps:

  1. Click Client.

  2. Click on the relevant client.

  3. Click Roster.

  4. Choose the requirement.

    šŸ“Œ Note: If you choose 'this week onwards', all future linked requirements in the chain will be updated.

  5. Click Edit.

  6. Click Order and choose the correct order from the drop-down options.

    šŸ“Œ Note: The order you choose must be active, fall within the requirement’s date range and link to a ratesheet containing the correct product.

  7. Click Save.


End a client order

To end a client order, follow these steps:

āš ļø Important: Make sure all requirements linked to the order are transferred to another active order before ending it. Ending an order with live requirements causes any future requirements to be automatically deleted from the roster.

  1. Click Client.

  2. Click on the relevant client.

  3. Click Order subtab.

  4. Choose the order from the drop-down options.

  5. Change the Status to Inactive.

  6. Enter the End Date.

  7. Click Save Changes.
